Unpaid Bills Not Opened, Electric shutoff

February 24th, have you ever thrown your bills in a book, magazine, under piles of clutter or don’t even know where you put them?  This sweet client today hired me to set up a filing system, purge old files and get her bills in order.  As we entered the office her electric was shut off.  We thought she blew a fuse but saw the energy car in front of the house.  It was so funny because she yelled out the door and asked when her electric would be turned back on and he said it was shut off due to not paying her bill.

She went to the dollar store and bought about 10 candles to light the house because the electric would not be turned on until the next day.  She was able to pay her bill over the phone.

We immediately opened all the mail and found the shutoff notice along with other bills that were past due.  My recommendation for this in the future if you are experiencing the same problem is, use a basket 8″xll” and about 3″ high or more.  When the mail comes in and you don’t have time to look at them, put in the basket.  After several days or no longer than a week, grab the basket and start to open up the mail and put the “Unpaid Bills” in a red folder labeled as so.  Rest of the mail in “Things to do” folder and if the rest is junk mail, throw away.

If you have time to glance through the mail when it comes in, throw away the junk mail immediately and don’t put the unpaid bills in the red folder before you open them first.

My 31/2 year old granddaughter spent the night last night due to her mother having a rough day.  This morning I taught a class on file organization at Imago Dei Crisis Pregnancy Center.  After finishing with my above client, picked up 2 pizza’s and watched a little of the olympics.

NAPO Meeting & File Organizing

February 18th attended NAPO Michigan chapter meeting in Novi and I am head of the hospitality committee.  Set up materials, food and met new visitors coming in.  The meeting was on hoarding with Debbie Stanley, an icon in the industry, who just received her masters in counseling hoarders and chronically disorganized clients.

Had lunch at Pei Wei with 3 other organizers and chatted about our upcoming conference in Columbus, Ohio that we are attending.

First session with a new client to set up a filing system for her paperwork.  Started sorting by categories and threw away or purged old dates.  She did not have very much paper work compared to other clients, but it did take 3 hours to sort.

Next session will be setting up a filing system (SMEAD Viewables tabs) which are 3D and color coded.  Came home took a nap, ate and started on my laptop, viewing email and calling clients.

Business Organizing

February 12th worked 6 hours in a business office for a manager.  He had so many binders, paperwork, catalogs, etc.  We organized all the binders in the same category on the bookshelves and cleaned out the ones that were out of date by recycling the binders and paperwork.  Bought banker boxes and put old payroll, budgets and some accounts in their individual boxes.

Cleaned out the paper office supplies and got rid of the old forms and organized again by categories such as paper, folders, laminate, etc. on top of each other in a nice stack.

There was a recycle garbage can that holds about 500 lbs and it was overflowing.  It felt so good to get rid of the outdated paperwork and only put on the shelves what was current.  Boxes 7 banker boxes of payroll and made room in the file cabinets.  I cleaned and wiped down the shelves and cabinets so it was clean and looked nice.  Back tomorrow for another 6 hours to finish.  Another person organized in the world!

On the Radio

February 6th I was honored to speak on the Radio Station 1500 AM at 3:00 to speak about my organizing business and my function at Imago Dei Crisis Pregnancy Center .  I am on the board of trustees and have been a volunteer for 10 years.  What I do there is teach file organization class to ladies and teens on how to file.  They have not learned how to file in school and some of them have never filed before or know how to put a tab on a hanging folder.

I also teach simple organizing skills such as quick 15 minute pickups, time management on shopping and using a hampers.  (You would be surprised how many clients don’t own one).

National Association of Professional Organizers has a Quantum Leap program and they donate all the colored file and hanging folders.  The students will learn how to file the rest of their life.

When all the donations come in, we sort by boy, girl, summer, winter and sizes.  Put the outfits together and put in a plastic bin or hang them up.  This is an on-going process and the donations keep coming in.

Organizing with bins

February 3rd organized spices in the kitchen cupboard with 3 bins consisting of one for baking spices, everyday spices and 3rd for oil and vinegnars.  When baking, take out the whole bin and all your spices are in one place.  You don’t have to lift up each spice bottle to see what each label is.

Went into the bathroom and put 2 bigger bins under the sink with the first every day bin of hair products, curling irons and blow dryer.  Second bin with lotions, makeup bag and beauty products.  Put all the nail polish, files and remover in a container together, traveling hang up bag with products to go and excess products into another container.  She did not have a linen closet so put them on the top of her closet.

Business Organizing

February 3rd…..Second appointment was a free assessment at a business office. It takes a big man to admit that he needs help with the clutter of 100 binders, paperwork piled with months and years sitting on a shelf.  Needs help with so many documents on the computer and can’t find what he needs when he needs them.  Recommended making folders and then dragging them into it.  Name the folders that make sense to you so you can relate to looking for them.

He is ordering colored folders as a visual aid for each department will have its own color.  When looking for a file, looks for the color and can find immediately.  I took a tour of the business so I can understand the process, names of the equipment, machines and parts to better organize and what to purge.

Came home tired due to I am still jetleg and my wonderful son who works for a restaurant cooked me dinner.  Spent some time with my 3 1/2 year old granddaughter and gave her the gifts from my trip.  Caught up on my email, blog and looking for a laptop for one of my clients.  Going to bed soon for another day of organizing tomorrow.  Sweet dreams!

Personal Day

February 4th…Felt that I was coming down with something from my vacation in CA and Dallas.  Been in bed most of the day and just resting on the couch, catching up on emails and watching TV.

Hope that  I feel better tomorrow since I have a full day with a client, free assessment and taking my grandaughter to my mothers.
